>(HELP ?) Circles> provide narratives on Training, Explanations, and Hints. These can be related to the overall screen, or to specific items on the screen. This "Help" narrative is for the >"SCHOOL GRADE CONFIGURATION" Screen>.

CheckinLink screens are comprised of five sections:

- Product Bar (wide horizontal bar across the top of the MemberLink screen)

- Operations Bar (narrow horizontal bar immediately under the Product Bar)

CheckinLink has the following Tabs on the Operations Bar: "View/Edit" Tab; "Registration" Tab; "Check-In" Tab; "Check-In Queue" Tab; "Check-Out" Tab; "Messaging" Tab; "Options" Tab; and "Logout" Tab.

- Information Bar (narrow horizontal bar immediately under the Operations Bar)

- Navigation Panel (vertical column area under the Information Bar on left side of screen)

- Display Panel (remainder of the screen, under the Information Bar and to the right of the Navigation Panel, and shows information in ROW/COLUMN Forms, DATA Forms, etc.)

Introductions

This is the "SCHOOL GRADE CONFIGURATION" Display Panel in the CheckinLink Module. You came here by clicking the Navigation Panel "CONFIGURE GRADES" Hyperlink.

CheckinLink® has its own "SCHOOL GRADE TABLE", separate from the "GRADE TABLE" in MemberLink. When a church starts to use CheckinLink, the School Grade Table will have been set to match the Grade Table.

You can change the School Grade Table in CheckinLink, it does not have to match the Grade Table in MemberLink. If you prefer different grade settings or labels in CheckinLink, follow the instructions below for changing the Table.

** Note 1: In MemberLink, the Grade Table applies to every person "? adults as well as children or youth. A category can be created for adults, such as Senior Adults, Adults, Young Adults, etc., whatever meets the church need. But only people with the (CHILD) Radio Button turned on in MemberLink can be included in CheckinLink. Therefore, you only need the School Grade Table in CheckinLink to have entries for Nursery through Youth (any age considered a "Child"). Post-high school are typically considered Adults.

Section 1 "? Describing and Sorting the School Grade Table:

This screen has three columns: the "GRADE" Column, the "PROMOTES TO" Column, and the "DECIMAL SORT ORDER" Column. The use of the "PROMOTES TO" Column will be described in Section 2 below.

In the "GRADE" Column, make sure you have an entry for every age or grade that applies to the Children in your church that may be "Checked-In" using CheckinLink. You can enter up to 40 characters and numbers as a Grade label.

In the "DECIMAL SORT ORDER" Column, use numbers to help you sequence the Grade labels. You can arrange the presentation order" those you want on top of the menu selection list, those you want to be on the bottom, etc.

After you determine the sort order, go to the bottom of the screen and click the "UPDATE GRADES" Button to apply your changes.

Adding a New Entry to the School Grade Table:

At the top of the "GRADE" Column, there is a blank entry box. To create a new entry, type an entry (up to 40 characters) in the blank box. Then in the "DECIMAL SORT ORDER" Column, type a numeric value that will help you position the new Grade entry where you want it among the other existing Grade entries.

To save the change and make it official, click the "UPDATE GRADES" Button at the bottom of the screen. Your work will not be saved and take effect until you click the "UPDATE GRADES" Button.

Changing an Entry in the School Grade Table:

To change a Grade entry from one value to another, just blank out the existing value in the "GRADE" Column and type the new one over it. Then click the "UPDATE GRADES" Button at the bottom of the screen.

To change the Sort order for the Grade Table, just change the numeric values accordingly in the "DECIMAL SORT ORDER" Column. Then click the "UPDATE GRADES" Button at the bottom of the screen.

Deleting an Entry in the School Grade Table:

To delete an existing entry, click your cursor in the entry box in the "GRADE" Column and blank out the existing entry text. Then click the "UPDATE GRADES" Button at the bottom of the screen.

These actions will remove the entry from the School Grades Table. Do not worry about the "DECIMAL SORT ORDER" Column, removing the entry from the "GRADE" Column will take care of removing it from the "SORT" Column.

Section 2 "? Automatic Year-End Promotion from Grade to Grade:

This screen has three columns: the "GRADE" Column, the "PROMOTES TO" Column, and the "DECIMAL SORT ORDER" Column. The uses of the first and third columns are described in Section 1 above.

The "PROMOTES TO" Column is used to perform automatic year-end promotion from one Grade to the next Grade. Using this feature eliminates the need for the Admin to change each child's grade one at a time.

In the "PROMOTES TO" Column, make sure you have an entry for every age or grade that will promote to the next age or grade. You can enter up to 40 characters and numbers, but each entry must match an entry from the "GRADE" Column.

For example, if there is a "Grade 2" value in the "GRADE" Column, you can enter "Grade 2" in the "PROMOTES TO" Column corresponding to the "Grade 1" value in the "GRADE" Column. Grade 1 "promotes" to Grade 2. Then you can continue the setup showing that Grade 2 promotes to Grade 3; or Age 2 promotes to Age 3; and so forth.

After making your changes, click the "UPDATE GRADES" Button at the bottom of the screen to apply or "save" the changes.

After making certain your promotion values are set correctly in the "PROMOTES TO" Column, you can click the "DO A PROMOTION" Button. When you do, the values for each person will be changed from the Age or Grade that was assigned to them in the "GRADE" Column, to the Age or Grade you have for them in the "PROMOTES TO" Column.

** WARNING!

You only do the automatic promotion once a year. If you do the promotion before you are ready, or more than once, there is no correction or going backwards to "undo" a promotion. You will have to move each person back manually, one-at-a-time.
